What does Notion do?
Notion is a flexible workspace for documents, knowledge and projects. Pages and databases can be arranged into personal planning systems or shared team hubs. AI features are also available, with access and allowances depending on the plan.
Is it right for you?
A good fit when…
Useful when your next challenge is keeping track of ideas, tasks and reference material. A small content calendar or shared operating guide is a better starting point than a complete company system.
Look elsewhere when…
A specialist accounting system, a full email marketing platform, or a complex operational database with strict requirements you have not checked. Flexibility does not make every use case a good fit.
Features that matter
- Documents and knowledge: keep working notes and reference information together.
- Databases and project views: organise structured information for different purposes.
- Collaboration and AI: plan-specific sharing, administration and assistance features.
Feature availability varies by plan. Check the official plan comparison.
The honest trade-offs
Why consider it
- Adapts to many small planning and documentation jobs.
- A free starting point can be enough to test a personal workflow.
- Connected information can reduce repeated notes and scattered documents.
What to watch
- It is easy to spend more time designing a system than using it.
- Permissions and shared structure need care as a team grows.
- A general workspace may lack specialist workflow controls you need.
A flexible workspace needs a few shared rules. Decide where information belongs and who keeps it current; otherwise the workspace can become another place to lose things.
Understand the whole bill
Free plan available
Compare Free, Plus, Business and Enterprise by required collaboration and administration features. Paid member seats can change the bill as the team grows; understand guests versus members. Verify AI access, usage allowances, file limits and page history in the current plan comparison.
Check the currency, tax, billing term and renewal amount at checkout. A monthly equivalent billed annually is not a month-to-month commitment. Start small enough to test the fit before committing to a longer term.
Your first steps
- Create one home page and one task database. Give each task a status and a next action.
- Add a small set of useful reference pages. Avoid importing years of unsorted notes at once.
- Use the system for a week and remove fields or views that you never use.
- Check sharing permissions from a guest's perspective before adding private team or client material.

How to make the choice
Choose Notion to organise the work around your business. It complements a builder or email platform rather than replacing those products.
Write down the one task you need to complete this month. Trial that task from start to finish, including the awkward cases, before paying for features you might need later.
